Programme creation

We work with you to build the programmes that keep your attendees engaged, and your speakers, sessions and logistics on time.

Start your brief

We work with your content team to shape the agenda, then prepare the working documents that everyone relies on during the event: a coordination programme for the logistics team and a formal run of show for the stage. We source and brief speakers, moderators and emcees, send speakers what they need to prepare, and rehearse the programme with the technical team before the event opens.

Our scope includes

  • Coordination programme: This shows how the event logistics will be coordinated, with timings, locations and the person responsible for each activity, from set-up to departures.
  • Run of show: This is the formal, minute-by-minute script for the stage. We manage it together with our technical production partner so that speakers, presentations, sound, video and lighting cues happen on time.
  • Speaker sourcing: We help you identify and invite speakers who suit your programme and audience, and we manage their confirmations.
  • Speaker kits: We send each speaker what they need to prepare their presentation, including the programme, a session brief, the presentation template and guidelines, deadlines and their logistics.
  • Moderator sourcing: We find experienced moderators who can guide panel discussions and keep sessions to time.
  • Emcee sourcing: We source an emcee who suits the tone of your event and brief them on the programme and protocol.
  • Technical rehearsals: These take place one to two days before the event, with speakers, moderators, the emcee and the technical team, so that everyone knows their cues.

Frequently asked questions

What is the difference between the coordination programme and the run of show?

The coordination programme covers everything behind the scenes, such as set-up, registration, transport and catering, and who is responsible for each. The run of show is the script for the stage: who speaks when, which presentation is on screen and every technical cue.

Who decides the content of the programme?

You do. Your team sets the objectives and the content. We help you structure the sessions, formats and timings, and turn them into working documents.

Can you help us find speakers?

Yes. We can propose speakers who suit your theme and audience, send the invitations and manage confirmations. You approve every speaker.

What is included in a speaker kit?

The programme, a brief for their session, the presentation template and guidelines, the deadline for sending slides, their session timings and their travel and logistics details.

When do speakers need to send their presentations?

We agree a deadline with you, ahead of the technical rehearsal, so that every presentation can be loaded and tested before the event.

Can you provide moderators and an emcee?

Yes. We source moderators and emcees who suit the tone of your event, and brief them on the programme, the speakers and any protocol requirements.

When are the technical rehearsals held?

One to two days before the event. Speakers, moderators, the emcee and the technical team walk through the run of show together.

Who runs the programme on the day?

Our team manages the run of show together with our technical production partner, cueing speakers, presentations and technical elements so that sessions start and end on time.

What happens if the programme changes at the last minute?

We update the coordination programme and the run of show, and brief everyone affected, including speakers, the emcee and the technical team.

Can you manage parallel sessions in different rooms?

Yes. Each room has its own run of show and team, coordinated through the main coordination programme.

Can speakers join remotely?

Yes. With our technical production partner we can include remote speakers in the programme and test their connection during the rehearsals.
